If the availability of administrative jobs seems limited, it might be the result of technological advancement. The New York Daily News reported on the effect of smart machines on the administrative and operational functions of businesses from start-ups to giant conglomerates. Humans are often no competition for machines that can work 24 hours a day and that are becoming increasingly cheaper and easier to use.

According to the article, the occupations most affected by technology are those of the middle class that pay between $38,000 and $68,000. Librarians are being replaced by “bookbots,” which use robots instead of humans to retrieve books stored in a fraction of the space. Between 2000 and 2010, over one million secretarial jobs were lost, telephone operator jobs were reduced by 64 percent, word processor positions dropped by a similar number, and bookkeeper positions were reduced by 26 percent.

The specific functions of administrators may be being carried out using automated processes; however, administrative staff members are crucial to organize and implement new systems, to recruit and train staff, and to identify business areas that require new technology innovations. Many small companies are not large enough to employ automated systems and to enjoy the associated economies of scale.

Many machines and automated processes require substantial investment and constant updating as original models become defunct. Tasks that call for human interactions such as recruitment and human resource tasks, identifying suitable applicants, interviewing, and screening still require the skilled abilities of humans. Experience and cultural fit takes a certain depth of perspective. A substantial proportion of administrative work requires interaction with colleagues, supervisors, suppliers, and customers. Successful interactions require an appreciation of the implications of relationships and the politics involved. A machine that can deftly navigate assuaging a disgruntled customer has yet to be created.

So, before you decide to rely on your iPhone and Siri to schedule all your appointments, consider that a talented office manager will not stop working when a battery needs recharging, or there is no available signal.
